Additional information - Position Descriptions, Nomination and Voting Process -

The 4WDABC AGM will be held on March 20; the elections this year will be for five Director positions. Four of which are concluding their term in 2021, and the addition of a new director position.

Open Director positions for voting for the 2021 4WDABC AGM are as follows:

Vice President (2-year term)
Treasurer (2-year term)
Communications (2-year term)
Regions Director (2-year term)
Director at Large (2-year term)

Member Voting – Our current Board of Directors will implement electronic voting for this year’s AGM to present a more Provincial representation at the AGM and reflected in Association business. We encourage members to ensure their memberships are in good standing (paid up to at least March 20 to be eligible to vote) and their online profiles are updated.

Nominations will be open until Thursday, March 4, 2021.
The campaign period will be Saturday, March 6, 2021, through Friday, March 12, 2021
Electronic voting will be March 15, 2021, through Thursday, March 18, 2021, ending at midnight PST.
The AGM will be held on March 20, 2021.

Director Nominations - We strongly recommend those who may be interested in running contact nominations@4wdabc.ca so that candidates will have the opportunity for their biographies to be distributed officially, along with other elections information leading up to the day.

2) Vice President

a. The Vice President shall assume the duties of President in the event the President is unable to attend meetings and/or functions.

2) Vice President

a. The Vice President shall assume the duties of President in the event the President is unable to attend meetings and/or functions.

b. The Vice President shall Chair the annual general meeting.

c. The Vice President shall ensure that meetings follow procedures and protocols as per Robert’s Rules of Order 7

d. The Vice President shall coordinate and ensure compliance with the Constitution, Bylaws, and the Societies Act.

e. The Vice President shall coordinate the education and training of members in regards to relevant four wheel drive activities supports by the Association.

f. The Vice President shall act as liaison with four wheel drive clubs, particularly those which are members of the Association.

g. The Vice President shall perform other roles as defined and agreed to by the Board of Directors.



3) Treasurer

a. The Treasurer shall have charge of all deeds, contracts, bonds, certificates, securities, and muniments of title belonging to the Association.

b. The Treasurer shall keep financial records, including books of account, necessary to comply with the Society Act,

c. The Treasurer shall render financial statements and other reports to the Directors, members and others when required, and

d. The Treasurer, if directed by the majority of the voting members in person at the general meeting, be bonded in an amount equivalent to or greater than the general account balance.

e. The Treasurer shall ensure that funds of the Four Wheel Drive Association of British Columbia shall be deposited only into a Four Wheel Drive Association of British Columbia account in a recognized financial institution approved by the Board of Directors.

a) Funds so deposited may be drawn out on the signatures of any two of three or more authorized signatories as designated by the Board of Directors

b) The financial records are to be inspected on an annual basis by an independent, non-related third party chosen by the board of directors, to commence immediately following the end of the fiscal year.

f. Maintains Society Paypal account system to transfer funds for timely deposit into our Four Wheel Drive Association of British Columbia bank account.



3) Communications

a. Handles Society social media

b. Maintains Society website

c. Controls Society forum(s)

d. Maintains Society email system (eg. president@4WDABC.com)

e. Coordinates production of Society magazine, the Backroader

f. Meeting notifications on all Society indirect Regions platforms

g. E-newsletter



4) Regions

a. Coordinates the election of Regional Officers: one for each of the nine regions in British Columbia:

1-Vancouver Island, 2-Lower Mainland, 3-Thompson-Nicola, 4-Kootenay, 5-Cariboo, 6-Skeena, 7-Omineca, 8-Okanagan, 9-Peace. (For reference only: Regional government offices in each are in: Nanaimo, Surrey, Kamloops, Cranbrook, Williams Lake, Smithers, Prince George, Penticton, Fort St. John.)

b. Coordinates with the Regional Officers to bring business of interest to members and their concerns to the Board of Directors

c. Coordinates and publicizes events in all regions, particularly if our own.

d. Coordinates the signing of waivers, and placement of insurance for all events supported by the Four Wheel Drive Association of British Columbia.

e. Acquires the appropriate permissions and control keys for events requiring those.



Director At Large - The Director at Large position has not been provided with a fixed portfolio, instead, it will be developed to accommodate both the skill sets of the individual who fills the role; and the Association’s many dynamic needs. The 4WDABC continues to experience exponential year-over-year growth; this role will evolve in response to needs.
